Comfort Wood Fuels (“we,” “us,” or “our”) operates www.comfortwf.co.uk (the “Site”). We are a UK B2B wholesale supplier of kiln-dried wood fuels. This Privacy Policy explains what limited information we collect when you visit the Site or contact us about a trade quote, and how we handle it under UK GDPR and the Data Protection Act 2018.

1. Changes to This Privacy Policy

We may update this Privacy Policy when our practices change. When we do, we will update the “Last updated” date and post the revised version on the Site. Your continued use of the Site after a change constitutes acceptance of the revised policy.

2. Information We Collect

We only collect information you actively provide to us. We do not run analytics, advertising trackers, or third-party tracking pixels on the Site.

A. Information You Provide Directly

  • Trade Enquiry Form: When you submit our contact form, we receive: name, email address, phone number (optional), company name, delivery postcode (optional), product interest, and the message you write.
  • Email or Phone Contact: If you email sales@comfortwf.co.uk or call us, we keep your message and contact details in our business records to handle your enquiry.

B. Information Collected Automatically by Hosting Infrastructure

Our hosting provider (Netlify) and form processor (Formspree) may automatically log standard server data such as IP address, browser user-agent, and timestamp for security, abuse prevention, and basic delivery analytics. We do not have access to advertising or behavioural profiles from this data.

3. How We Use Your Information

We use your information solely to:

  • Reply to Trade Enquiries: Provide quotes, answer questions, and discuss orders.
  • Fulfil Wholesale Orders: Coordinate delivery, invoicing, and follow-up communications.
  • Comply with Legal Obligations: Such as VAT records, accounting, and Woodsure / Ready to Burn audit trail.

We do not use your information for online advertising, retargeting, or to sell products to other businesses without your direct request.

4. Cookies and Tracking Technologies

This Site does not use cookies for analytics, advertising, or tracking purposes. We do not run Google Analytics, Facebook Pixel, Google Tag Manager, or similar trackers.

The only browser storage we use is a single sessionStorage entry (cwf-visited) which remembers within your current browser tab whether the brand intro animation has already played. It contains no personal data, expires when you close the tab, and is not transmitted to our servers.

Because we do not place non-essential cookies, no cookie consent banner is required under UK PECR / GDPR.

5. Third-Party Services

We use a small number of third parties to operate the Site:

  • Netlify — hosts the Site. See Netlify Privacy Policy.
  • Formspree — processes our contact-form submissions and forwards them to our email. See Formspree Privacy Policy.
  • Google Fonts — serves the typefaces used on the Site (DM Sans, Raleway). Google may receive your IP address as part of normal font delivery.

We do not sell, rent, or share your personal information with marketing or advertising partners.

6. Data Retention

We keep enquiry and order records for as long as necessary to handle your business with us and to satisfy legal record-keeping obligations (typically up to 7 years for accounting). After that, records are deleted or anonymised.

7. Your Rights Under UK GDPR

You have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your data, subject to our legal obligations to retain it.
  • Object to processing or withdraw consent.

We use HTTPS across the Site, secure cloud-hosting infrastructure, and limit access to enquiry data to staff who need it. No system is 100% secure, but we take reasonable steps to protect what you share with us.
